Digital archive
With Merak, you have a partner equipped with everything it takes to create your digital archive. As with all other Merak services, the totally transparent price structure is based entirely on the cost per document.

Digital archiving: nothing but advantages
Documents that call for
electronic archiving include: unhandy (blueprints), valuable (deeds,
contracts), active or signed (invoices, delivery vouchers), or
separate (lay-out designs). > Digital archive
-
The advantages of scanning and storing digital
versions of documents:
-
smaller by reducing volume a thousand times;
-
faster due to lightning fast searches by date,
number, or client;
-
better due to one-time scanning which eliminates
years of physical storage;
-
safer due to copy which Merak can store in
e-bunker.
Digital archive for all sizes of paper
Together with the Merak advisor you determine the required indexing level and the method of archiving both electronic copies and originals. The industrial scanners can take on any paper format up to A0 width - including front and back – in colour or on blueprint.
Advanced OCR software (Optical Character Recognition)
indexes each document according to your specifications: based on fixed fields (i.e. date, client) or on the entire text.
The paper originals are safely housed in the climate-controlled archive facility or they are disposed of. The electronic data finds a place on double back-up servers, including – if you like – a back-up in the electronic bunker.
Information at your fingertips
A
digital archive is only as good as the ease of consulting it. Using
the Merak software, you can immediately track the desired document,
ready to print off or to e-mail. Merak Archive Online is a
high-performance internet solution with which you can send documents
between branch locations or forward to suppliers. The electronic
archive is housed in the totally secured Merak web-servers, readily
accessed by internet. Your company needs to make no extra investment
in servers, back-up procedures or software installation… > Digital

Integration of your digital archive in DMS and ERP
Do you already operate a functional document management system (DMS) or an enterprise resource planning system (ERP) such as SAP? Count on Merak to make full use of its capacity by correctly ‘feeding’ it at the right time with the right documents. Here, the barcode determines the document type, and provides for the correct electronic cataloguing. The raw data is loaded into the system by your personnel or by the Merak expert.
Variable cost, dynamic formulas
With Merak you pay only for the ‘electronic space’ that you actually use, All-in, without any supplements for band-width used or number of downloads. At any time, you are free to modify your indexing, access, or storage formula. > Digital archive
